DCI Engineers - Seattle

DCI Engineers, a leading structural and civil engineering consulting firm, currently has an opportunity for an Accounts Payable Specialist. With offices spanning from Alaska to the East Coast, DCI leverages a regional presence with national experience in 20 markets.

The Accounts Payable Specialist will work in our Seattle office to provide accounts payable, administrative and general bookkeeping/accounting support to the Corporate Accounting department.

Responsibilities of the Accounts Payable Specialist:

  • Assist the CFO, Controller, Accounting Manager and the Accounts Payable Lead as needed with daily tasks and projects.
  • Assist with the processing and posting of the daily accounts payable.
  • Assist with the Company credit card statements, expense reports and misc. check requests.
  • Assist with the weekly check runs.
  • Manage and maintain the Accounts Payable/Expense Reports/Credit Card filing.
  • Interact and respond to/with Vendor requests.
  • Track select Principals expenses and prepare expense reports.
  • Reconcile credit card statements for Seattle Principals.
  • Other duties as assigned.

Requirements for the Accounts Payable Specialist:

  • Accounting experience (specifically Accounts Payable) and education preferred.
  • Experience in the architecture, engineering or planning industry preferred.
  • Experience with the Deltek VantagePoint software preferred.
  • Willing to work on-site in our downtown Seattle office.
  • Ability to handle sensitive and confidential information and situations with poise, tact, and diplomacy.
  • Strong communication (oral & written) and interpersonal skills.
  • High level of attention to detail.
  • Manage multiple priorities accurately while meeting team deadlines.
  • Consistently demonstrate a professional, respectful demeanor while interacting with a diverse blend of personalities.
  • Broad computing experience, to include proficiencies in Microsoft Word and Excel. Strong internet skill set a must. Be adaptable to additional software packages to include project/accounting software.

Responsibilities of a Structural Project Manager:

  • Develop, coordinate, and direct production of engineering project documents
  • Prepare fee proposals and contracts
  • Develop workload and scheduling projections for project staff
  • Oversee and perform calculations, design, and analysis of applicable elements for projects
  • Collaborate with the engineering and drafting teams to coordinate design details and construction document requirements
  • Oversee/perform construction observations and write reports
  • Review shop drawings during construction
  • Evaluate additional service requests, review billing, and coordinate permit responses and construction support services
  • Develop a client base.

Requirements for a Structural Project Manager:

  • 4-8 years of structural project management experience
  • Experience designing and managing projects using steel, concrete, wood, and masonry design materials
  • Previous work experience includes building evaluations, renovations, and seismic retrofits
  • Skilled at designing all categories of seismic and gravity framing systems for every building and material type
  • Ability to manage your time, juggling multiple tasks and projects
  • Ability to lead and train junior engineers and coordinate with BIM Designers

  • Ability to effectively communicate with a variety of stakeholders – clients, and design and construction teams
  • Civil Engineering degree from an ABET accredited university and PE license required.

As a Billing Accountant at DCI Engineers, you will be responsible for managing monthly billing activities within selected sectors of DCI, and assist with the project maintenance, tracking, collection, and management of accounts receivable for those assigned sectors.

Headquartered in Seattle, WA, DCI Engineers a leading structural and civil engineering consulting firm with offices spanning from Alaska to the East Coast.

Responsibilities of a Billing Accountant:

  • Manage monthly billing activities for assigned sectors/departments of the business 
  • Update projects/jobs in Company database, including project maintenance and billing terms set-up 
  • Enter clients and contacts into the Company database and update as needed 
  • Assist engineers in entering/modifying projects in the Company database 
  • Coordinate billing with project managers and process WIP 
  • Interface with project managers and clients on invoice questions, concerns, and/or corrections 
  • Prepare draft and final invoices, including any related back-up and mailing them in a timely fashion 
  • Prepare and process any adjustments to support correct charging and/or billing 
  • Maintain billing folders, including keeping detailed communication notes on all accounts 
  • Assist with A/R aging integrity through consistent contact and follow-up, with an emphasis on past due accounts
  • Insure project management and follow-up on all scope changes, signatures on contracts, etc. 
  • Interact and respond to clients' questions. Assist clients with requested information, compliance documents, and reports. 
  • Generate various reports for PM’s/Principals/Office Managers/ Clients 
  • Provide administrative and general bookkeeping/accounting support to the Accounting team as needed 
  • Participate in the monthly billing staff meeting; discuss current month processing, issues, advancements, changes, and future endeavors 
  • Assist with training new billing staff as requested
  • Assist department colleagues and other accounting areas when necessary and/or available 

Minimum Qualifications:

  • Minimum of 3 to 5 years of experience, including billing and A/R
  • Highly proficient with Microsoft Excel and Word and adaptable to learning new software 
  • Knowledge and understanding of contract structure, terms and conditions
  • Highly detail oriented with the ability to multi-task in a fast-paced environment
  • Effective communicator with the ability to work independently and collaborate with co-workers
  • Understanding of electronic billing software
  • Customer service oriented
  • Ability to meet tight deadlines

 

Preferred Qualifications: 

  • BA/BS in Accounting or Finance
  • Experience in the Architecture/Engineering/Construction Industry
